WhatsApp CRM for Indian Businesses: Buy or Build
Written by Web6 Editorial Team · Published 30 October 2026 · 9 min read
WhatsApp is where Indian buyers answer. A WhatsApp CRM is the system that catches those chats, gives each one an owner, and shows them on a lead instead of on a personal phone. You can buy that as a product or build it into a CRM you own. The search results for "WhatsApp CRM India" are mostly products. This page is the buy-or-build decision those results skip.
Web6 builds the custom side and will say when a product is enough. The company page is custom CRM development company in India.
Should you buy a WhatsApp CRM or build one?
Buy a product when the job is a shared inbox, assignment, templates and a simple pipeline, and the vendor uses Meta's official WhatsApp Business Platform. Build when the chat has to sit inside a process the product cannot model: unit blocking, dealer pricing, a GST quote that needs approval, or a record that already lives in your own CRM. The WhatsApp Business app on one handset is neither option. It is one person.
Use the official platform
The WhatsApp Business app is built for a single user. A team inbox, approved templates and several people on one business number need the WhatsApp Business Platform, which used to be called the API. Unofficial tools that drive WhatsApp through a browser session put the number at risk of a ban. Ask every vendor, and every developer, whether messages go through Meta. If the answer is a Chrome extension, walk away.
Products that currently rank for this search include shared-inbox tools such as Sales Daddy, SaarFlow, Broadchat and BizNuma. Naming them is not a review and not a ranking. Read their pricing page, confirm the official platform, and test a number you care about. Prices move. One public example in 2026 was a flat team price rather than a per-seat CRM licence. What Meta charges in India from 1 October 2026
Meta bills per delivered message to a +91 number. The card below is the India list reported from Meta's WhatsApp Business Platform pricing and matched across several pricing explainers on 4 November 2026. Your provider may add a fee. GST treatment depends on who invoices you. Confirm the card before you forecast a festival campaign.
| Category | India list rate | When it applies |
|---|---|---|
| Marketing | ₹0.8631 | Offers and re-engagement you start. Needs an opted-in contact and an approved template |
| Utility | ₹0.115 | Updates on something the customer did: order, visit, payment. Charged inside the service window as well from 1 October 2026 |
| Authentication | ₹0.115 | One-time passcodes |
| Service | ₹0.115 after 1,000 free per number each month | Free-form replies inside 24 hours of the customer's last message |
A marketing message costs about 7.5 times a utility message. A discount code inside an "order update" can make Meta treat the template as marketing. Volume discounts on utility start at volumes most SMEs will never hit (the first tier break is in the tens of millions of messages a month). Budget the list rate.
India-based businesses are being moved to INR billing, with Meta telling eligible accounts to finish that move. Treat currency as a setup task with your provider, not as a detail for later.
When buying is the better product
- You need a shared inbox this month, not a software project.
- The pipeline is a handful of stages and the chat is the whole job.
- You can live with the vendor holding the inbox UI, as long as you can export contacts and you own the WhatsApp Business Account.
- The team is under a few dozen people and the process is the same in every branch.
Owning the WhatsApp Business Account matters even when you rent the inbox. If the number is trapped inside a vendor you cannot leave, you have rented your customer channel.
When building belongs inside the CRM
- The reply must update a record the product does not have: a flat, a dealer price, a production stage, a ticket with an SLA.
- The quotation is generated from your rules and has to be approved before it is sent in the chat.
- You already have a CRM, custom or Zoho, and a second inbox means reps type everything twice. Zoho can take a WhatsApp integration. The trade-off is in Zoho CRM vs custom CRM.
- Assignment, working hours and the audit of who sent what are part of how you manage, and the product's roles are too coarse.
A build still uses a Meta provider or Meta's cloud API. You are building the inbox and the CRM around it, not a private version of WhatsApp. Real estate is the clearest example: the chat, the visit and the unit are one record. That guide is custom CRM for real estate in India.
Consent and storage
Phone numbers and chat logs are personal data under India's Digital Personal Data Protection Act, 2023. Marketing templates need an opt-in you can explain. Staff should see the chats their role allows, and you should be able to export or delete a person's messages when you have a lawful reason to. Ask your lawyer how the Act applies to your broadcasts and to the logs you keep. A CRM vendor cannot give you that sign-off.
A short test before you sign
- Send and receive on a number you control, with two agents, without a personal phone in the middle.
- Confirm the WhatsApp Business Account is in your Meta business, or that the contract says how it moves if you leave.
- Price a normal month: inbox fee plus Meta's rates for the marketing and utility volume you actually send.
- If you are building, put inbox, templates, assignment and logging in version one. Leave chatbots and broadcasts until the team replies on time.
The cost of a CRM that contains this inbox is part of custom CRM development cost in India. The inbox fee and Meta's per-message bill stay even after the software is paid for.
Frequently asked questions
Is the WhatsApp Business app a CRM?
No. It is one phone. A team cannot share it safely, and the history leaves when the person leaves. Use the official Business Platform for a shared inbox.
What does a marketing message cost in India?
Meta's India list rate from 1 October 2026 is ₹0.8631 per delivered marketing message. Utility and authentication are ₹0.115. Service replies are ₹0.115 after 1,000 free messages per number each month. Providers may add a fee.
Can I start on a product and build later?
Yes, if you own the WhatsApp Business Account and you can export contacts. Moving chat history is the hard part. Plan the export before you depend on a vendor's archive.
Does Zoho CRM include WhatsApp?
Zoho can be integrated with WhatsApp through providers and APIs. That is a configuration project, not a built-in Indian inbox with your quotation rules. Compare it with a product inbox and with a custom build on the same process.
Who owns the phone number?
It should sit in a Meta business you control. Write down what happens to the number and the templates if you change vendor or developer.
