Custom CRM Development Cost in India

Custom CRM development cost in India: three scope cards from a basic lead manager to an advanced build

Custom CRM development cost in India is a scope question, not a single package. A lead list with follow-ups is a different product from a system that blocks a flat, sends a GST quotation and logs WhatsApp on the same record. This guide puts published 2026 ranges next to Zoho and HubSpot list prices so you can see which bill you are actually comparing.

Web6 builds custom CRMs and implements Zoho. The ranges below are compiled from public Indian vendor guides read on 4 November 2026. They are planning bands, not a Web6 rate card. A number you can hold us to comes after a discovery call. If you want the service behind the build, see custom CRM development company in India.

What does a custom CRM cost in India?

For most SMEs the honest planning window is ₹4 lakh to ₹15 lakh for the first release a sales team will use every day. Under ₹4 lakh you are usually buying a lead manager. Above ₹15 lakh you are buying portals, a mobile app, multi-branch rules or deep accounting sync. Add hosting, WhatsApp fees and a yearly support allowance on top of the build.

ScopeWhat is typically in itPublished rangeTimeline
Lead managerCapture, assignment, follow-up tasks, a few reports₹1.5 lakh – ₹4 lakh4–8 weeks
Sales CRMPipeline, quotations, roles, dashboards₹4 lakh – ₹10 lakh2–4 months
Connected CRMWhatsApp, Tally or Zoho Books, portal leads, approvals₹6 lakh – ₹15 lakh3–5 months
PlatformMulti-branch, customer or partner portal, mobile app₹15 lakh – ₹40 lakh+4–8 months

Guides disagree inside those bands because "basic" means different screens. Compare module lists, not the final total. A cheap quote that skips authentication, backups, roles and a data import is not the same product as a dearer one that includes them.

What moves the price

  • Objects. Contacts and deals are cheap. Units, shades, batches, visits, AMCs and dealer price lists are new data models.
  • Roles. "Admin and user" is a weekend. Branch, project and field-level rules touch every screen and query.
  • Quotations. A PDF with line items, GST and a discount approval is its own module.
  • Integrations. Each system has its own failures: Tally company files lock, portal APIs throttle, Shopify webhooks retry. Budget the unhappy path, not the happy demo.
  • WhatsApp. The official platform needs a Meta business verification, approved templates and a provider. Message fees are Meta's, every month, separate from the build.
  • Mobile. A responsive web app is part of a normal build. A native iOS and Android app is a second product.
  • Migration. One clean spreadsheet is a few days. Five years of duplicates, merged cells and three old CRMs is a project of its own.
  • Reporting. Five agreed dashboards are fine. "Every report we might want" is unbounded.

Zoho and HubSpot, so the comparison is fair

A custom quote looks expensive next to a per-user price until you multiply the subscription. Figures below use list prices read on 4 November 2026. They exclude implementation, GST, add-ons and the cost of people who never log in.

Zoho CRM

Zoho's feature comparison lists these India prices, before 18% GST. Annual billing is per user per month:

EditionAnnual billingMonthly billing10 users, 3 years, annual, pre-GST
Standard₹800₹1,300₹2,88,000
Professional₹1,400₹2,100₹5,04,000
Enterprise₹2,400₹3,000₹8,64,000
Ultimate₹2,600₹3,200₹9,36,000

The three-year column is users × monthly price × 12 × 3. A 10-user Professional team pays about ₹5 lakh in licences over three years, then whatever a partner charges to configure it. A GST-registered business can usually claim the 18% as input credit. Confirm the live card on zoho.com before you buy. Edition limits, including Blueprint and custom functions, change the edition you actually need. The decision guide is Zoho CRM vs custom CRM.

HubSpot Sales Hub

HubSpot's product page lists Sales Hub Professional from $90 per seat per month on an annual commitment, and $100 per seat if you pay monthly, plus a required Professional onboarding fee of $1,500. Ten seats for three years at the annual rate is $32,400 in seats, plus $1,500 onboarding, before contacts, extra hubs or implementation. Indian invoices are commonly in dollars. Do not convert that to a rupee "truth" with yesterday's rate and then treat it as a quote.

HubSpot wins when marketing and sales share one contact database and the process is close to standard. It gets expensive when every rep needs a paid Sales seat and the workflow still does not fit. Put HubSpot in the same three-year sheet as Zoho. A second comparison article would only repeat this one.

Costs after go-live

  • Hosting. A modest cloud server for an SME CRM is often a few thousand rupees a month. Multi-branch file storage and backups cost more.
  • Support. Several 2026 pricing guides set aside 15% to 20% of the build each year for fixes and small changes. Use that as a planning allowance, then ask for the retainer you will actually sign.
  • WhatsApp. From 1 October 2026 Meta's India card is about ₹0.8631 per delivered marketing message and ₹0.115 for utility or service messages, with 1,000 free service messages per number each month. A provider may add a platform fee. See WhatsApp CRM for Indian businesses.
  • Change. New stages and a new branch are normal. A CRM with a frozen scope and no engineering time becomes the next spreadsheet.

How to read a quote

  1. Ask for the module list, the roles and the integrations that are in version one, and the list that is out.
  2. Ask whether data import, training, hosting setup and the first month of fixes are inside the number.
  3. Ask who owns the repository and the cloud account on the day you pay the last invoice.
  4. Put Zoho or HubSpot licences for your real user count on the same page, for three years, plus their implementation quote.
  5. Reject a single line that says "CRM development" with no screens behind it.

Frequently asked questions

Is a ₹1 lakh CRM worth buying?

Sometimes, for capture, assignment and reminders, if the quote still includes login security, backups and a data import. It will not include WhatsApp on the official API, GST quotations with approvals, or a Tally sync. Read the module list.

Why do two Indian agencies quote ₹3 lakh and ₹12 lakh for "a CRM"?

They are describing different products. One is screens on a simple pipeline. The other includes roles, documents, integrations and migration. Ask both to price the same module list.

Does the build price include Zoho or HubSpot licences?

No. A custom build replaces those licences. A Zoho implementation quote is a different engagement and the subscription stays on your Zoho invoice.

What should I budget per year after launch?

Hosting, WhatsApp or SMS usage, and a support retainer. A common planning allowance in 2026 guides is 15% to 20% of the build per year. Your contract should state the real retainer and what a small change costs.

Is custom CRM cheaper than Zoho after three years?

Only past a certain team size or when Zoho would need a higher edition plus heavy partner work to fake the process. Ten users on Zoho Professional is about ₹5 lakh in licences over three years before implementation. A ₹12 lakh build is not automatically cheaper. Fit decides it. Price confirms it.

Are these Web6 prices?

No. They are published market bands as of 4 November 2026. Web6 prices a fixed scope after discovery.
