How to Choose a Custom CRM Development Company in India
Written by Web6 Editorial Team · Published 27 October 2026 · 8 min read
Choosing a custom CRM development company in India is a scope and ownership decision. A polished homepage does not tell you whether the team has shipped a pipeline people still open six months later, or a demo that died after the invoice. This is the checklist we would want a buyer to use on us.
Web6 builds custom CRMs from Surat and implements Zoho when Zoho fits. The India service page is custom CRM development company in India. A method for reading public shortlists is in best custom CRM development companies in India.
What should you check before you hire?
Eight things, in order: the job you are buying, a process map, code and data ownership, who can log in, proof you can click, India-specific channels, a written scope, and support after launch. Skip any one of them and the failure shows up after the team has already been trained on the wrong system.
Eight checks
1. Name the job
Lead manager, sales CRM, WhatsApp inbox, industry system, or Zoho configuration. These are different products and different companies. A Salesforce partner and a team that writes a Laravel CRM both say "CRM development". Ask which one you are hiring. If the process is a standard pipeline, read Zoho CRM vs custom CRM before you fund a build.
2. Make them draw your process
A serious team will ask where leads arrive, who owns them, what a quotation needs, and which spreadsheet the owner still trusts. A weak team will send a module menu. You should see your stages in their notes before you see a price.
3. Ownership in writing
The contract should say the repository, the database and the cloud account are yours at handover. "You own the data" while they own the only admin login is not ownership. Source code on a laptop you cannot access is not ownership either.
4. Access
Your staff get their own users. The agency gets an admin they can be removed from. Shared passwords and a single "admin" login for the whole sales team will become the security incident.
5. Proof you can open
Ask for a staging login or a walkthrough of a live CRM in a similar trade, with the client's name hidden if needed. Screenshots of dashboards are cheap. A system you can click is not. Case studies should name the modules, the timeline and the stack. Ours for property sales is the real estate CRM case study: 14 weeks, site visits, unit inventory, broker versus direct leads, duplicate checks, WhatsApp logging.
6. India channels
Ask how WhatsApp is connected. The acceptable answer is the official WhatsApp Business Platform, with templates and a shared inbox. The unacceptable answer is "we will use the rep's phone" or an unofficial library that risks the number. Ask about Tally or Zoho Books, GST on quotations, and IndiaMART or portal leads if those are how you sell. The WhatsApp decision is its own guide: WhatsApp CRM for Indian businesses.
7. A scope you can disagree with
Version one should list screens, roles, integrations and what is out. Price follows that list. Bands for sanity-checking a number are in custom CRM development cost in India. A one-line quote cannot be compared with anything.
8. The month after launch
Who answers, in what hours, and what a small change costs. A CRM changes the week the team starts using it. A contract that ends on go-live leaves you stuck.
Questions worth asking on the call
- Will you tell me if Zoho or HubSpot is enough?
- What is explicitly out of version one?
- Where will the code be hosted, and whose name is on the account?
- How do you import and de-duplicate our current sheet?
- Which WhatsApp provider, and is it Meta's official platform?
- What happens to messages and files if we leave you?
- Who is on the project after the salesperson leaves the kickoff?
- What did a recent client stop using, and why?
Send this before the first call
A one-page brief saves you from three identical demos. Include:
- How a lead arrives today, in the order it actually happens. Website, IndiaMART, a missed call, a WhatsApp forward, a walk-in.
- The stages on the board the owner already believes, including the ones that skip ahead.
- Who may see a record: the rep, the branch manager, the channel partner, the accountant.
- The one document that has to come out of the system in version one. Usually a quotation.
- The systems that must stay: Tally, Zoho Books, Shopify, a portal. Say which one owns the customer and which one owns the invoice.
- How many people will log in, and how many of those are in the field on a phone.
Ask each company to reply with what they would leave out of version one. The useful answer names screens. The useless answer says "we are fully customised" and attaches a brochure.
Migration is part of the hire
Budget a cleanup, not only an import. Phone numbers in five formats, the same buyer under a personal name and a firm name, and a "hot" column nobody trusts. A company that says the import is free without looking at the file has not done the work. Agree who de-duplicates, what happens to rows with no phone number, and that you will sign off a sample of 50 records before the full load.
Flags
- Slow down if every answer is a module name, if they refuse to talk about Zoho, if the price is per screen with no roles or import, or if WhatsApp means a Chrome extension on someone's phone.
- Move forward if they restate your process in their own words, show a system, name what they will not build yet, and put code ownership in the draft contract.

Frequently asked questions
Should I hire a freelancer or a company?
A freelancer can build a small lead manager if you are comfortable owning the server and the follow-up yourself. A company is the better fit when you need roles, integrations, training and someone who answers after launch. Either way, get the repository in your name.
Is a Zoho partner the same as a custom CRM company?
No. A Zoho partner configures Zoho CRM. A custom CRM company writes an application you host. Many firms do both. Ask which engagement this proposal is.
What belongs in the contract?
Scope in and out, timeline, price, milestone payments, repository and cloud ownership, data import, training, warranty period and the support rate after that.
How many references do I need?
Two systems you can see beat ten logos. Prefer a business that sells the way you sell, even if it is in another city.
Can I start small and add modules?
Yes, and you should. Version one is the pipeline, users and the one channel you cannot lose. Quotes, WhatsApp and accounting sync can follow once people are logging in. The data model still needs to allow those modules, so say they are coming.
Does the cheapest quote win?
Only after the module lists match. A lower number that excludes import, roles, backups or handover is a different product.
